A step-by-step guide for estate agents to follow when booking a new sales valuation.

1Open a new property/vendor file record within our estate agency software

2Confirm vendor's contact details and add to their file record

-home phone number
-mobile number
-work phone number
-home address (if different to address of property being valued)

3Confirm full address of property to be valued and add to their file record

Importance: Essential

4Confirm essential details about property and add to their file record

Importance: Essential

E.g. property type, property age, number of bedrooms, defining features.

5Confirm vendor's reason for valuation and the timescales they're aiming for, and add notes to their file record

6Check whether any other agents have already valued the property, or are booked in to value the property, and add notes to their file record

7Confirm vendor's source of enquiry and add to their file record

-how did they hear about us?
-why did they choose to come to us?

8Agree date and time for valuation and add to their file record

9Confirm to the vendor who will be carrying out the valuation

10Ensure the appointment is in the valuer's diary

11Send an email to the vendor to confirm the valuation

Include:

-date
-time
-the name of the person who will be valuing
-their contact details
-what to expect during the valuation.

Copy the email to the valuer. Example email copy attached.

I can confirm that [Valuer Name] is looking forward to meeting you at the property at [Time] on [Date] to carry out the valuation. I have included [Valuer's Name]'s contact details below for your reference.

During the valuation, [Valuer's Name] will view the property, give you some valuable insight into the current market in your area, and answer any questions you may have about our services and the sales and marketing process. [Valuer's Name] will also provide you with a full market report and give you a recommended marketing price for the property. [Valuer's Name] may also offer any appropriate advice and recommendations to help you achieve the best possible value for your property.
