1Draft an application form for candidates to complete

Importance: Optional

1.2If there are changes required, redraft and resubmit

2Choose the appropriate assessments to be completed by candidates for the job vacancy

Importance: Optional

You could choose a psychometric verbal reasoning assessment, personality test or an IQ based assessment.

3Populate candidate matrix

Importance: Essential

As each CV/application is received, populate the attached spreadsheet to keep track of each candidates progress.

4Send application form

Importance: Optional

Reply to each candidate as you receive their interest in the job vacancy, asking them to complete and return the application form.

*Remember to populate the candidate matrix*

Email Subject: Application Form

Thank you for your email and interest in our [JOB TITLE] vacancy.

Please could I ask you to complete the attached application form and email it back to me as soon as possible.

5Set up the agreed assessment for candidates to complete

Importance: Optional

Add the login details to your assessment portal here!

5.1Reply to candidates notifying them of the assessment

Importance: Optional

Reply to each candidate as you receive their application form, notifying them that you have set up an assessment for them to complete.

*Remember to populate the candidate matrix*

Email Subject: Next stage assessment

Thank you for returning the completed application form.

The next stage of the [JOB VACANCY TITLE] recruitment process, is for candidates to complete a {TITLE TYPE OF ASSESSMENT].

You should have received an email from [NAME OF ASSESSMENT PROVIDER] today, with a link to the assessment. Please could I ask you to complete the assessment by [TIME] on [DATE].

If you have any questions, please do not hesitate to contact me.

6Review candidates with hiring manager (once job advert is closed)

Importance: Essential

Review the populated candidate matrix and filter on the applicants who have completed all your requirements.

Review each filtered candidates:
- CV
- application form
- assessment result

Decide who you will take forward to the next stage and who you will reject.

*remember to populate the candidate matrix with who you have accepted and rejected*

6.1Reject unsuccessful candidates

Importance: Essential

Mark the rejected candidates on your candidate matrix and notify them of your decision, either via the recruitment agency or directly.

Email Subject: [YOUR COMPANY NAME] vacancy

Thank you for your interest in our [JOB VACANCY TITLE] vacancy and for taking the time apply.

Unfortunately, due to the high calibre of candidates, on this occasion we will not be proceeding with your application.

I wish you the very best of luck in your job search

6.2Invite successful candidates for an interview

Importance: Essential

Email Subject: Interview for [JOB VACANCY TITLE]

Thank you very much for taking the time to apply for the job of [TITLE OF JOB VACANCY]. I am please to confirm that you have been selected to progress to the next stage of the application process.

We would like to invite you to meet with us. The interview process will last around [?] hours and consist of the following format.

[REVISE AS APPLICABLE]
- 15 minute presentation from our CEO on our company values, why we exist and our future plans
- 45 minute interview with [NAME & JOB TITLE]
- 45 minute interview with [NAME & JOB TITLE]

Ideally, we would like you to come in for a [TIME] interview kick off on [DATE]. Please could you let me know if this time fits with your schedule?

6.3Add interviews to the calendar and invite the candidate and interviewer

7After interviews, reject unsuccessful candidates

Importance: Essential

Mark the rejected candidates on your candidate matrix and notify them of your decision, either via the recruitment agency or directly.

Email Subject: [YOUR COMPANY NAME] interview feedback

I would like to take this opportunity to thank you for your time on [DATE].

Unfortunately, due to the high calibre of candidates we interviewed, on this occasion we will not be proceeding with your application.
